When a municipal facility reported a failed Eaton 9155, GDF Technologies dispatched a technician immediately and issued an emergency estimate while the technician was travelling. The two actions ran in parallel. Mobilization did not wait for a complete commercial file, and the estimate did not pretend that a remote description was a diagnosis.
The retained field record is deliberately narrow. It confirms the reported model, immediate dispatch and the estimate sent while the technician was en route. It does not retain the alarm, operating state, bypass condition, load status, diagnosis, parts, repair, restoration time or final outcome. The service lesson is therefore about response control, not a claimed repair success.
Why speed and evidence must coexist
An emergency UPS call creates pressure to act before the technical picture is complete. The caller may say “UPS failed” even though the load is on static bypass, maintenance bypass, battery, generator or unprotected utility power. The phrase does not reveal whether personnel face energized equipment, whether the load is stable or whether switching is safe.
The response can still begin. Dispatch confirms that qualified resources are moving. A conditional estimate gives the customer a commercial basis for emergency attendance. Technical scope remains subject to safe site assessment.

The first information request
The dispatcher should collect enough information to set priority and prepare the technician without directing unqualified live work. Useful facts include:
- exact site and authorized contact;
- UPS manufacturer and model from the nameplate;
- exact display message, alarm text or indicator;
- current state of the critical load;
- whether the UPS is on normal operation, battery or a known bypass state;
- recent outage, generator transfer, maintenance or electrical work;
- smoke, odour, heat, noise, liquid, visible damage or active hazard;
- site access, security and electrical-authority requirements;
- available single-line diagram, service history and event records.
The caller should not be coached through internal switching or cabinet access unless a qualified, authorized procedure and responsible site authority are in place. An emergency does not lower the electrical safety threshold.
First-hour control sequence
The first technical objective is not necessarily repair. It is to establish the operating state, protect people and understand the load exposure. The technician then captures evidence before resets, transfers or component changes erase it.

The Eaton 9155 user guide confirms that the product family includes operating displays, event and alarm records, communication functions and maintenance-bypass arrangements in applicable configurations [2]. It does not prove which configuration or state existed at the anonymized facility. That distinction prevents a manual from being used as a substitute for site evidence.
The estimate while the technician was travelling
An emergency estimate should authorize attendance without inventing the repair. It can cover travel, minimum labour, applicable premium time, initial diagnosis and the process for approving additional work. Parts, lifting, electrical contractors, after-hours access, temporary UPS equipment and return visits remain conditional until facts support them.

This structure allows the customer to authorize motion while preserving a separate approval point for the technical scope. It also reduces disputes. The estimate states what the emergency attendance buys and what it cannot promise.
Evidence boundary
The retained record does not support a statement that the Eaton 9155 was repaired, bypassed or returned to service. It does not establish the fault code, battery condition, load, runtime or replacement parts. Those omissions are not filled with a typical-fault narrative.

The boundary matters because emergency service pages often make broad promises about diagnosis and restoration. A defensible account can show decisive action without claiming an outcome that the retained file cannot prove.
Handoff from dispatch to field service
A concise handoff keeps the field technician from rebuilding the call history while standing at the equipment. It should identify the caller’s words as unverified until observed, and it should highlight safety or continuity concerns.
Recommended handoff fields are:
- call time, dispatch time and estimated arrival;
- site contact, access and electrical authority;
- reported model and configuration;
- exact reported indication and sequence of events;
- reported load state and immediate business impact;
- hazards or environmental conditions;
- actions already taken by site personnel;
- commercial authorization and its limits;
- documents and tools available;
- escalation contacts if temporary protection is needed.
The field report should then replace unverified descriptions with observed facts. If a safe diagnosis cannot be completed during the first attendance, the report should state the limitation and the controlled condition left at the site.
A disciplined emergency service standard
Effective response combines several controls:
- dispatch based on consequence and load exposure;
- no remote switching beyond authorized procedure and competence;
- evidence capture before avoidable resets or changes;
- a commercial basis that separates attendance from repair;
- explicit ownership of switching, access and approvals;
- a site record of condition, action, limitation and handoff;
- an escalation path for temporary power, parts and specialist support.
Speed is measured by useful controlled action, not by how quickly someone guesses the fault.
